Simple steps for online survey success

Utilising the power of surveys, can be a simple yet extremely valuable step for a business.

Bloom Tools

Customer feedback is an important part of any business. Without it, businesses often wouldn’t know when they need to make changes, add new products or improve their services. Thanks to the Internet and email, there is now a fast and simple way to get feedback from your customers – online surveys.

An online survey is the same as a normal survey – a series of questions that the respondent has to answer – except it’s on the Internet. They are a great option for businesses of any size for collecting information from their customers or other groups. Not only are they easy to create, they are also very cost-effective to distribute and collecting and analysing results is simple.

You can create basic online surveys in your email program, but for the most professional presentation and the best results, you need to use an email marketing system like Bloomtools Ezy Communicator.

Here are the 6 steps to creating an effective online survey:

1. Prepare yourself

There is no point in throwing together a few survey questions and sending it straight out to your entire database – you’ll be very lucky if you get anything valuable back. In order to get the best results from your survey, you need to spend a bit of time planning before you send it.

The first thing to do is to set out your objectives. Think about exactly what the purpose of your survey is and what you want to achieve with it. It may be something simple like improving customer service or something more specific like streamlining your ordering system with suppliers. Outlining your objectives also helps you target your survey to particular groups within your database. Sending the same survey to your whole database will probably be a waste of time because there are so many different groups within your list.

Spending some time planning your survey will make it far easier to write the questions you need and ensure you get the best results possible.

2. Brainstorm your questions

So know you what the survey is about and who it is aimed at, it’s time to start writing your questions. Sit down with a pen and paper or use a whiteboard to brainstorm everything you want to ask your recipients about in the survey. Don’t worry about formally writing up the questions straight away – get your ideas down first, and then finalise the wording of the questions later.

You should start of with basic information such as age, gender and location just so you have an idea of what type of person the recipient is. It’s best not to ask for a name, because people are far more likely to respond honestly to an anonymous survey. Also, don’t be too specific with these questions – use age brackets like ’20-30 years old’ and general locations like states or regions.

After you’ve got the basics covered, you need to focus on the serious questions. The nature of these questions will really depend on what you are trying to achieve with your survey, so there are no real rules or guidelines, apart from keeping it as short, simple and relevant as possible.

3. Organise your questions

The next step in creating an online survey is to organise your questions. This involves the structure of the answers for your questions and also the order in which your questions appear.

With the answers to your questions, you have three main options – free text, multiple choice or multiple tick boxes. Free text means you provide a space for the recipient to answer in any way they please and write as much as they want. This is best for questions that need a longer, more detailed answer, but it does make measuring results difficult. Multiple choice involves listing several answer options for the question and allowing the recipient to choose only one answer. Multiple choice is quick and simple for participants, but can restrict their answer. Multiple tick boxes are similar to multiple choice – several options for the participants to choose from, but it differs in the fact that respondents are not restricted to one answer, so they can tick as many boxes as they like. The type of answer structure you choose can impact on the results of your survey, so make you sure you choose logical answers that will encourage people to participate.

Now that your questions and answers are ready to go, you need to put the questions in the most logical and easy to understand order. Apart from starting with basic demographic information like age, the placement of your questions is really up to and what you think makes the most sense. Also, if your survey is long it is a good idea to divide your questions into sections such as “Store Layout”, “Product Range” and “Staff Service”, to make it easier for your contacts to navigate and understand. 4. Attract participants

Now that you’ve created this great survey, how do you get people to participate in it? Distributing and promoting your online survey is easy and cost effective thanks to email. Simply use your email marketing program (like the Bloomtools Ezy Communicator) to email your survey to your contacts.

The response rate of an email survey will be far higher than that of a traditional printed survey because it is easy for the recipient to open and complete it on their computer and it is completely free for them. However, you will still have do some work to convince them to participate. You will need to write a compelling email subject line that immediately explains what the email is about and indicates what you want to find out from them, such as “Did you enjoy your meal at Tracey’s CafĂ©? ” or “Tell us how we can improve our ordering system”. Mentioning the word survey in your subject line will turn people away, so attract their attention with a ‘help us help you’ subject line, then explain the details of the survey in the body of the email. Remember, the subject line is usually only 50 characters long, so if you don’t have enough space to include your company name, make sure you use it in the sender line so the recipient can recognise your brand.

Once you’ve captured their attention with the subject line, you need to close the deal with your email copy. Include a header along the lines of “Your thoughts are important to us – please share them with us” which will make them feel valued. In your main copy, you need to explain that you would like them to take a survey and what information you want to find out from them. You should also let them know what’s in it for them (better service, quicker deliveries etc.), approximately how long the survey will take to complete and personalise it with their details from your database.

Here is an example of an email promoting a survey:

Sender: James Smith – James’ Office Furniture Subject line: How was your shopping experience with us? Header: We value your opinion – please share your feedback on our service and products Copy:

‘Dear Sue,

Thank you for your recent purchase of an ergonomic office chair at James’ Office Furniture. In order to find out if the product and the service from my team met your expectations, I would like to invite you to participate in a short survey. This survey will ask you about your shopping experience at James’ Office Furniture and will only take a few minutes to complete.

The feedback from this survey will help my staff and I improve our service to you when you shop with us in the future. Your participation is greatly appreciated.

Yours sincerely,

James Smith Owner, James’ Office Furniture’

5. Analyse your results

This is step that all your work has been leading up to. If you don’t take the proper time and care when analyzing your results, your survey efforts will be wasted. If you are using a system like the Bloomtools Ezy Communicator, the results of your online survey are collected for you and displayed in an easy to read graph to make analysis fast and simple. If you are manually collecting all your results, you will need to go through each survey response and tally all of the answers, then count them all up at the end and make your own graphs in a program like Microsoft Excel.

Once you’ve got all your statistics in front of you, you will be able to compare these to your objectives. Did the survey tell you what you wanted to know? Are there any trends or surprises that you weren’t expecting? You can get a lot of great insight from the results of your survey so make sure you set aside time to really go through the results with a fine-tooth comb. Also, make sure you read all of the responses to your free text questions carefully, because they cannot be statistically analysed.

6. Take action

The final step is to make the changes and improvements that your survey results suggest. If responses indicate that your service is slow, sit down with your team members and plan ways to make it better, or if your product range isn’t wide enough, add some new products. Once you’ve made these changes, let the survey participants know. Create a group in your database of people that completed the survey, then send them a short email about the changes you have made to give them better service, more products or quicker delivery. They will appreciate that you have really listened to their opinions and it may encourage them to make another purchase.

Follow these six simple steps and not only will you be creating great online surveys, you’ll be improving your business as a result!

Will Social Media Improve Life In the Future?

The social benefits of Internet use will outweigh the negatives over the next decade, according to a new survey conducted by the Pew Research Center’s Internet & American Life Project and the Imagining the Internet Center at Elon University.

While most respondents reported the Internet has both positive and negative effects, 85 percent said it has improved their own social relations and will continue to do so through 2020.

Some 85% agreed with the statement:

“In 2020, when I look at the big picture and consider my personal friendships, marriage and other relationships, I see that the Internet has mostly been a positive force on my social world. And this will only grow more true in the future. “
Social-Media-2020

The majority of the people surveyed said the Internet allows people to create and grow bigger social networks than they had been able to have in pre-Internet days. They said they like the advantages offered by the easy sharing of personal details in a one-to-many form that they can control. They said that over the next decade people will continue to invest themselves in building communities via these personal broadcasts.

Some survey participants pointed out that geography is no longer an obstacle and the Internet is also eliminating some or all of the constraints of time and cost when it comes to human connection and sharing.

In addition, some participants said technology will continue to change how we live our lives at home and at work, and that “virtual friends” in more developed social networks will become more common in the future. They said the definitions of “privacy” and “friendship” are changing.

Some 14 percent pointed out the negatives of the connections people are generating online. These included observations that people lose time online that could be spent in face-to-face relationships; social networks can be a distraction; online relationships are not deep and meaningful; the Internet allows people to silo themselves and incite more intolerance.

Here are some responses by those surveyed:

“The internet has actually helped with human interaction by providing a wider range of ways to communicate such as Twitter and Facebook. These allow some interactions that are better not done face-to-face. And the internet frees up more time for social interaction by making things like shopping faster.” William Webb, head of research and development, Ofcom

“Both answers are true. Spending more time online and being more wired to each other via various devices comes at the expense of real-time, deep, meaningful human interaction. But, when you’re really busy and don’t have enough time to see, call or visit with friends it’s nice to use the social networking tools to be better able to keep tabs on or ‘give tabs to’ people in your social network.” -Joshua Freeman, director of interactive services, Columbia University Information Technology.

Spam: Where it Came From, and How to Escape It

In 1936, long before the rise of the personal computer, Hormel Foods created SPAM. In 2002, the company will produce it’s six billionth can of the processed food product. But that mark was passed long ago in the world of Internet spam.

Who Cooked This!? (How did it all start?)

The modern meaning of the word “spam” has nothing to do with spiced ham. In the early 1990’s, a skit by British comedy group Monty Python led to the word’s common usage. “The SPAM Skit” follows a couple struggling to order dinner from a menu consisting entirely of Hormel’s canned ham.

Repetition is key to the skit’s hilarity. The actors cram the word “SPAM” into the 2.5 minute skit more than 104 times! This flood prompted Usenet readers to call unwanted newsgroup postings “spam.” The name stuck.

Spammers soon focused on e-mail, and the terminology moved with them. Today, the word has come out of technical obscurity. Now, “spam” is the common term for “Unsolicited Commercial E-Mail”, or “UCE.”

Why Does Bad Spam Happen to Good People?

Chances are, you’ve been spammed before. Somehow, your e-mail address has found it’s way into the hands of a spammer, and your inbox is suffering the consequences. How does this happen? There are several possibilities.

Backstabbing Businesses
Businesses often keep lists of their customers’ e-mail addresses. This is a completely legitimate practice and, usually, nothing bad comes of it. Sometimes though, the temptation to make a quick buck is too great, and these lists are sold or rented to outside advertisers. The result? A lot of unsolicited e-mail, and a serious breach of trust.

Random Address Generation

Computer programs called random address generators simply “guess” e-mail addresses. Over 100 million hotmail addresses exist – howhard could it be to guess some of them? Unfortunately for many unsuspecting netizens – not too hard. Many spammers also guess at

“standard” addresses, like “support@yourdomain.com”,

“info@yourdomain.com”, and “billing@yourdomain.com.”

Web Spiders

Today’s most insidious list-gathering tools are web spiders. All of the major search engines spider the web, saving information about each page. Spammers use tools that also spider the web, but save any e-mail address they come across. Your personal web page lists your e-mail address? Prepare for an onslaught!

Chat Room Harvesting

ISP’s offer vastly popular chat rooms where users are known only by their screen names. Of course, spammers know that your screen name is the first part of your e-mail address. Why waste time guessing e-mail addresses when a few hours of lurking in a chat room can net a list of actively-used addresses?

The Poor Man’s Bad Marketing Idea

It didn’t work for the phone companies, and it won’t work for e-mail marketers. But, some spammers still keep their own friends-and-family-style e-mail lists. Compiled from the addresses of other known spammers, and people or businesses that the owner has come across in the past, these lists are still illegitimate. Why? Only you can give someone permission to send you e-mail. A friend-of-a-friend’s permission won’t cut it.

Stop The Flood to Your Inbox

Already drowning in spam? Try using your e-mail client’s filters – many provide a way to block specific e-mail addresses. Each time you’re spammed, block the sender’s address. Spammers skip from address to address, and you may be on many lists, but this method will at least slow the flow.

Also, use more than one e-mail address, and keep one “clean.” Many netizens find that this technique turns the spam flood into a trickle. Use one address for only spam-safe activities like e-mailing your friends, or signing on with trustworthy businesses. Never use your clean address on the web! Get a free address to use on the web and in chat rooms.

If nothing else helps, consider changing screen names, or opening an entirely new e-mail account. When you do, you’ll start with a clean, spam-free slate. This time, protect your e-mail address!

Stay Off Spammed Lists in the Future

Want to surf the web without getting sucked into the spam-flood? Prevention is your best policy. Don’t use an easy-to-guess e-mail address. Keep your address clean by not using it for spam-centric activities. Don’t post it on any web pages, and don’t use it in chat rooms or newsgroups.

Before giving your clean e-mail address to a business, check the company out. Are sections of its user agreement dedicated to anti-spam rules? Does a privacy policy explain exactly what will be done with your address? The most considerate companies also post an anti-spam policy written in plain English, so you can be absolutely sure of what you’re getting into.

Think You’re Not a Spammer? Be Sure.

Many a first-time marketer has inadvertently spammed his audience. The first several hundred complaints and some nasty phone messages usually stop him in his tracks. But by then, the spammer may be faced with cleanup bills from his ISP, and a bad reputation that it’s not easy to overcome.

The best way to avoid this situation is to have a clear understanding of what spam is: If anyone who receives your mass e-mails did not specifically ask to hear from you, then you are spamming them.

Stick with your gut. Don’t buy a million addresses for $10, no matter how much the seller swears by them! If something sounds fishy, just say no. You’ll save yourself a lot in the end.

The Final Blow

The online world is turning the tide on spam. In the end, people will stop sending spam because it stops working. Do your part: never buy from a spammer. When your business seeks out technology companies with which to work, only choose those with a staunch anti-spam stance.

Spam has a long history in both the food and e-mail sectors. This year, Hormel Foods opened a real-world museum dedicated to SPAM. While the museum does feature the Monty Python SPAM Skit, there’s no word yet on an unsolicited commercial e-mail exhibit. But, if all upstanding netizens work together, Hormel’s ham in a can will far outlive the Internet plague that is UCE.
